Staff Management

Admin Area > Staff

The staff feature module is used for the centralized management of all staff accounts and personal information on the platform, supporting conditional search, batch import, and list browsing operations. This module is particularly suitable for educational institutions, cram schools, and corporate training units, and can effectively control login permissions and expiration dates for various types of staff accounts.


Staff Function Description

The "Staff Function" is one of the core backend modules of the LOL platform, assisting institutions in managing each staff member's role and operational scope on the platform. The main features are as follows:

  • Staff Search: Quickly locate staff accounts or basic information.
  • Data Import: Batch add or update staff accounts via Excel.
  • List Management: Completely display and edit all staff information and login records.
  • Detailed Permission Settings: Specify which modules and management scopes each staff member can use.
  • Account Control: Set account activation status, expiration time, and login record tracking.

This module helps to improve administrative efficiency and information security and is an important part of the overall personnel management process.


Operation Process Instructions

1. Search Staff

  1. Log in and enter "Admin Area > Staff".
  2. Enter conditions (such as account, name, class, position, etc.).
  3. Click "Search" to find the target staff.

2. Import Staff Data

  1. Click the "Import" function on the page.
  2. Download the sample Excel, fill in staff information according to the format (name, account, gender, phone, position, permissions, etc.).
  3. After uploading, the system will automatically compare and create or update data.

3. View and Manage Staff List

  1. All staff lists will be automatically displayed at the bottom of the page.

  2. Click the function button on the right to execute:

    • Edit staff information (contact information, permission settings, etc.)
    • Suspend/activate account
    • Delete account
  3. Data can be quickly filtered by conditional sorting or keywords.

4. Set Staff Permissions

  1. When editing staff information, click "Permission Settings".

  2. You can specify which module functions each staff member can operate, for example:

    • Can only manage classes and student information
    • Can only review registration forms and push cloud messages
    • Can only manage videos and transcoding operations
  3. Permissions support multi-level subdivision, and module status can be adjusted according to actual job responsibilities.

Admin Area > Staff

The administrator can create, search, and manage all backend staff (including teachers and staff) accounts.

Search Fields

The first dropdown menu allows you to select whether to search by Account or Name. The second dropdown menu allows you to select AND or OR to combine multiple search criteria. The third dropdown menu allows you to further filter by Account or Name for a second condition.

Status Filter

Used to filter account status, with options: All, Active, Expired/Suspended.

Add

Click this button to open a new form window to add a new staff record.

Edit

After selecting a staff member in the list, click this button to enter edit mode and modify the staff information.

Import Staff Data

Provides a method for batch creation of staff accounts by importing files.

Staff List

Lists detailed information of each staff member in table format.

Name

The staff member’s name.

Account

The unique account used by the staff to log in to the system.

Position

The staff member's position or role in the system.

Gender

The staff member's gender.

Birthday

The staff member's birthday.

Home Phone

The staff member's home phone number.

Mobile Phone

The staff member's mobile phone number.

Permissions

Whether the staff member has permission to log in to admin mode.

Expiration Date

A button named Login Record. Click to view all login history records for the staff member.


Add/Edit Staff Settings

Admin Area > Staff > Add/Edit

Used to add a staff member with management permissions.

Account and Basic Personal Information

Used to create a new staff login account and basic profile.

Login Account

Set the account used by the staff to log in to the backend.

Login Password

Set the password used by the staff to log in to the backend.

Profile Picture

Provides a file upload function for uploading the staff's personal profile photo, with resolution and file size restrictions.

Expiration Date

Set the validity period of the staff account.

Name

Record the staff member’s name.

Position

Set the staff member’s position.

Gender

Set the staff member’s gender.

ID Number

Record the staff member’s personal ID number.

Birthday

Record the staff member’s birthday.

Email

Record the staff member’s email information.

Home Phone

Record the staff member’s home phone number.

Mobile Phone

Record the staff member’s mobile phone number.

Highest Education / Graduated School

Record the staff member’s educational background; the education can be selected from a dropdown menu.

Address

Record the staff member’s address.

Teacher Introduction

A text editor allows the administrator to create a rich introduction page for the teacher or staff member, which will be displayed on the website frontend.

Permissions

These permissions determine which modules and scopes the staff member can access after logging into the backend.

System Management

Staff with this permission can access all backend settings of the platform, including modifying system parameters and managing all user accounts and other core functions.

SMS Record Query / Class / Other Function Management (Non-system Administrator)

For general administrative staff who are not system administrators. Staff with this permission can query SMS sending records, manage classes, and operate other non-core backend functions but cannot change the underlying system settings.

Student Account Management

Grants the right to manage "student" accounts. Staff with this permission can add, edit, query, or delete student personal information and accounts.

Videos

Grants the right to manage "videos". Staff can upload, edit, categorize, set video cover images, and attachments.

Staff Account Management

Grants the right to manage "other staff" accounts. Usually only given to senior supervisors or HR managers, allowing them to add or edit other colleagues' backend accounts.

Video Scope

Used to restrict the scope of the "video" permission. Administrators can specify whether the staff member can only view or manage videos for specific classes, and cannot access video data outside their permission scope.

Manage Blog

Grants the right to manage the site's "Blog". Staff can write, edit, publish, or delete blog posts.

Live Management

Grants the right to manage the "Live" feature. Staff can schedule, set up, and start online live classes or events.

Plans, Billing Management

Grants the right to manage "payment-related" features. Staff can set up pricing plans, manage student bills, check orders, and handle top-up and all matters related to the EduPay system.

Video Scope - Manage Classes

When "video"-related permission is enabled, this section can further restrict the staff member to only manage or view videos for specific classes. A checklist is provided below, and administrators can check the classes for which the staff member is responsible. For classes not checked, the staff member will not be able to view or edit related videos or other information.

Abandon all settings.

Save the complete information and permission settings for this new staff member to complete account creation.


Login Record

Admin Area > Staff > Login Record

Provides a detailed log of all login and logout activities for a single staff member, which is an important tool for security auditing and user behavior analysis.

Date Filter

A date range selector is provided at the top of the window, along with a search button. Administrators can query login activities within a specific time range by setting the start and end dates.

Login Record List

Lists each login activity in table format in reverse chronological order (newest at the top).

Date & Time

Records the login time for the activity.

Logout Time

Records the logout time for the activity. If this field is blank, it means the connection has not been logged out.

Source IP Address

Records the network IP address used for login, which can be used to track the geographical location or network source of the login.

Operating System

Records the operating system of the login device.

Browser

Records the name and version of the browser used during login.

Device

Clearly distinguishes, with an icon, whether the login is from mobile/tablet or desktop.

Login Method

Displays, with an icon, the method used for the login activity.


Import Staff Data

Admin Area > Staff > Import Staff Data

Allows administrators to upload Excel files to batch-create a large number of staff accounts, saving the tedious process of adding them one by one.

Import Staff List (XLS Format)

Clearly indicates the purpose of this feature and the accepted file format.

Choose File

Clicking this button opens the file explorer on your computer, allowing administrators to select the staff data to upload.

Format Instructions & Sample Download

To ensure the uploaded data can be correctly read by the system, the platform provides instructions: first, users must use the .xls file extension (old Excel format), not the newer .xlsx; second, a sample file download link is provided. Administrators should download this template and prepare their staff list according to the preset columns and format to ensure successful upload.

Overwrite Original Data If Account Duplicates

If the system detects that an "account" in the uploaded Excel file already exists in the database, the system will use the new data from the Excel file to update (overwrite) the original data in the system. This is suitable for batch updating existing users.

Skip This Data If Account Duplicates

If the system finds that an "account" in the uploaded Excel file already exists in the system, the system will completely ignore this data in the Excel file, and the original data in the system will remain unchanged. This is suitable for situations where you only want to add accounts that do not exist.

Staff List

Displays all staff accounts and detailed information, including:

  • Name, account, position, gender, birthday
  • Contact numbers (home, mobile), email
  • Permission modules, account expiration date
  • Last login time, login device records

Administrators can perform batch suspension, account update, export list, and other management operations on this page.


Usage Scenarios

  • Quick onboarding of new tutors: When a cram school hires new tutors for a new semester, all data can be imported at once and initial login permissions set.
  • Immediate suspension for departing staff: In the event of personnel changes, suspend the account immediately to prevent misuse.
  • Limit teaching staff to use only the video module: Use permission settings to authorize teachers to operate course and video features only, with other modules hidden.
  • Investigate abnormal login behavior: When account anomalies are found, immediately check the account's login records and devices used.
  • Regular account validity management: Update account validity periods each semester and set account activation periods according to the contract system.
