Export All Student Data

Admin Area > Student Management > Student > Export All Student Data

Please follow the steps below to export all student data:

Step 1: Log in to the Admin Backend

  • Use your staff account to log in to the admin area.

Step 2: Select the Data to Export

  • Click on "Student Management" → "Student" in the left-side function menu.
  • On the student list page, click the "Export [All] Student Data" button at the upper right corner.

Step 3: Export the Data

  • The system will display a prompt window showing "Exporting all student data, please wait. Do not close the window."
  • Wait for the system to complete the export process.

Step 4: Download the Exported File

  • After the export is completed, your browser will prompt you to save the Excel file.
  • Please select the save location, confirm the file name, and click "Save."

Notes

  • The exported file is in Excel (*.xls) format. It is recommended to use Microsoft Excel for editing.
  • The export processing time depends on the amount of student data. Please do not close or refresh the web page during the process to avoid export failure.

Import a Large Amount of Student Data

Admin Area > Student Management > Student > Import Student Data

To improve the efficiency of student data management, the platform provides a bulk import function for student data. This feature is suitable for the start of a semester or when setting up new classes, saving a lot of time and avoiding manual entry by administrators. Data can be created manually by the administrator or exported from an academic system for modification and re-import.

Step 1: Download and Edit the Excel Template

  1. After logging in to the backend, click [Student Management] > [Student] on the left menu.
  2. Click [Import Student Data] at the upper right to download the Excel template.

Step 2: Organize and Fill in the Excel Data

The Excel file columns include:

  • Account
  • Name
  • Password (if omitted, it will be the same as the account)
  • Usable (Y/N)
  • Expiry Date (YYYY/MM/DD)
  • ID Card or Passport
  • Birthday (YYYY/MM/DD)
  • Gender (M/F)
  • English Name
  • Card ID Internal Code
  • Student Number
  • Status (such as Official, Potential, Trial)
  • Handler
  • Referrer
  • Studying/Working (Student=>stud, Working=>work, blank = student)
  • Highest Education
  • Graduated School
  • Job Title @ Workplace
  • School Attending
  • Class Attending (e.g., 1-7)
  • University Graduated @ High School Graduated @ Junior High School Graduated @ Elementary School Graduated
  • Emergency Contact 1
  • Emergency Contact 1 Relationship
  • Emergency Contact 1 Mobile Phone
  • Emergency Contact 2
  • Emergency Contact 2 Relationship

Step 3: Import the Completed Excel File

  1. Go back to the student management backend and click [Import Student Data].
  2. Click [Choose File] and select the completed and saved Excel file.
  3. Select [Overwrite existing data if account is duplicated] or [Skip this record if account is duplicated].
  4. Click [Start Upload XLS File] and wait for the system to notify you when the upload is complete.

Notes

  • The Excel file must be saved in Office Excel 2003 (.xls) format.
  • Be sure to confirm the correctness of the data in the file before importing, to avoid errors or data loss.
  • When handling a large amount of data, the system may take time to process. Please wait patiently for the system to complete before proceeding with the next operation.

Import Student Data from Third-Party Systems

Admin Area > Student Management > Student > Import Student Data

To facilitate administrators in quickly importing student data from third-party systems (such as academic systems, CRM systems, etc.) to the platform, saving a lot of manual effort and time, please refer to the following steps.

Step 1: Export Data from a Third-Party System

  1. Log in to your third-party system (such as an academic system or CRM system) and find the student data management function.
  2. Use the export function provided by the system to export student data in Excel or CSV format.

Step 2: Adjust and Format the Data

  1. Open the exported Excel or CSV file.

  2. Refer to the platform’s student data Excel template for column matching and data adjustment, ensuring the columns match the following standard format:

    • Account
    • Name
    • Password (if omitted, it will be the same as the account)
    • Usable (Y/N)
    • Expiry Date (YYYY/MM/DD)
    • ID Card or Passport
    • Birthday (YYYY/MM/DD)
    • Gender (M/F)
    • English Name
    • Card ID Internal Code
    • Student Number
    • Status (Official, Potential, Trial)
    • Handler
    • Referrer
    • Studying/Working (Student=>stud, Working=>work, blank = student)

Step 3: Import the Adjusted File

  1. Log in to the platform backend, click [Student Management] > [Student].
  2. Click [Import Student Data] at the upper right and select the adjusted Excel file.
  3. Select [Overwrite existing data if account is duplicated] or [Skip this record if account is duplicated] as needed.
  4. Click [Start Upload XLS File] and wait for the system to display a successful upload message.

Notes

  • The imported file must be in Office Excel 2003 (.xls) format.
  • Check data completeness and accuracy to avoid future issues.
  • If handling a large amount of data, the system may take time to process. Please wait patiently for the completion message.

FAQ

Q1: Importing student data failed, how to troubleshoot?

A: Please make sure the imported file matches the column format and order provided by the platform, and avoid missing necessary fields such as account and name.

Q2: Is there a limit to the number of records for each import?

A: It is recommended not to exceed 500 records per import to ensure server stability and a higher import success rate.
